THE DEPARTMENT

The Center for WorkLife Law is a national research and advocacy organization affiliated with UC Law SF that seeks to ensure no person is forced to choose between economic security and their family’s health and well-being. The Center advances gender and racial equity by building legal rights for pregnant people and family caregivers at work and school. The WorkLife Law team provides direct assistance to workers and students in need and addresses structural inequality by changing public policy at the state and national levels.

This is an exciting time for the Center as we are currently undertaking a leadership change. The Administrative & Accounting Associate will play an integral role in the Center’s next chapter as our small but mighty team fights for reproductive justice; prevents discrimination against family caregivers; promotes legal rights for pregnant and lactating workers; operates the nation’s only legal resource center for pregnant and parenting students; and ensures equitable access to benefits for workers.

THE ROLE AND RESPONSIBILITIES

The Administrative & Accounting Associate supports WorkLife Law’s mission by engaging in a range of non-profit administrative and financial duties. Specifically, the Administrative & Accounting Associate supports the Center for WorkLife Law’s Co-Directors in their work advancing gender and racial justice by engaging in a variety of fiscal, administrative, and non-profit management tasks. This role is best suited for an individual who is detail-oriented, organized, and self-directed. The position is 0.5 FTE (roughly 20-hour/week) and is remote-eligible, with flexible scheduling.

Typical duties and responsibilities include, but are not limited to, the following:

Nonprofit fiscal administration: Work with the Center’s Co-Directors to manage WorkLife Law’s financial activities, which may include:

  • Processing payments to WorkLife Law’s consultants in coordination with UC Law SF’s purchasing department
  • Preparing consultant contracts
  • Creating invoices and tracking payments
  • Preparing expense reimbursement reports
  • Supporting the Center’s Co-Directors in creating an annual budget
  • Preparing financial reports for funders
  • Tracking donations
  • Corresponding with consultants, vendors, and other partners in a courteous and prompt manner
  • Adhering to and updating standard operating procedures

Administrative Support - Support WorkLife Law’s Co-Directors and projects, which may include:

  • Responding to emails and phone calls to the Center
  • Proofreading documents and uploading them to our websites
  • Scheduling large meetings
  • Coordinating with Center staff to facilitate webinars and other public programming
  • Coordinating logistics for hiring and other HR matters
  • Bringing forth ideas that provide insight, efficiency, and/or best practices for our organization
  • Performing other administrative assistant functions as needs arise

REQUIREMENTS
EDUCATION AND EXPERIENCE

  • Experience and proven track record of high performance within an office environment.

  • Strong numeracy skills (an accounting background is not required, although it is a plus)
  • Ability to use and/or quickly and competently learn a range of office and fiscal management software, including Microsoft Office (Outlook, Word, Excel, Power Point, Teams), Concur, Axiom, WordPress, Zoom, Google (Analytics, Docs, Forms, Sheets), and Kintone CRM
  • Good verbal and written communication skills
  • Ability to manage assignments from different supervisors at once and prioritize work appropriately
  • Professional customer service skills
  • Good judgment and tact
  • Adaptable, with an eagerness to problem-solve
  • Fluency in Spanish is a plus
